The requirement

What a study abroad CRM needs to do

Everything else comes second.

In short

Hold several open applications per student, each with its own stage, deadline and documents, and put those deadlines on the same calendar as your sessions.

Most CRMs fail this. A sales CRM gives a contact one status. A student applying to the UK, the Netherlands and Germany has three at once. Work around it with a text field and you lose filtering.

End to end

The whole job, in one place

From the first Instagram message to the final instalment.

  1. 01

    Enquiries and leads

Enquiries come from Instagram, WhatsApp, your website, fairs and referrals. You rarely lose the message. You lose the three days before someone acts on it. A registration form on your own subdomain removes the re-typing.

  2. 02

    Counselling sessions

Every session is logged with its date, time, duration, type, counsellor and notes. Two fields matter most: action items and next session date. The dashboard reads the second to build your follow-ups list.

  3. 03

    University and course selection

Each university and course becomes an application record, with its requirements and deadline recorded before work starts. Dropped options are withdrawn, not deleted.

  4. 04

    Applications across countries

Applications sit on the student's file and on a board across all students. "Where is Maria up to?" and "what is in preparation this month?" are both one filter. See application tracking.

  5. 05

    Documents

Transcripts, passports, references, certificates and personal statements upload under seven fixed categories, so nobody invents a folder name. Keep the checklist per university. They disagree about what they want.

  6. 06

    Visa and post-offer steps

EduCRM does not process visas. It gives you somewhere to put the steps: deposit, acceptance letter, appointment, financial evidence, all as dated tasks.

  7. 07

Follow-ups you don't have to remember

Sessions, deadlines and follow-ups share one calendar. On Premium you can add tasks by speaking them.

  8. 08

    Payments and invoicing

Fees are usually staged and often paid by a parent. EduCRM tracks what is invoiced, paid and outstanding, and generates invoices and receipts.

Stages

A stage model that survives a real year

Six stages ship by default. Rename, reorder or replace them in Settings, along with the pipeline, session types and payment methods.

Frequently asked questions

What is a study abroad CRM?

Software that keeps one record per student: profile, sessions, and every overseas application with its own stage, deadline and documents, plus fees and follow-ups. You see where every student stands without rebuilding it from email.

Can EduCRM handle students applying to several countries at once?

Yes. Each application is its own record with its university, country, programme, platform, stage, deadline and documents. A student can have as many as they need.

Does EduCRM track visa applications?

Not as a visa module. Track visa steps as dated tasks against the student (deposit, acceptance letter, appointment, financial evidence) on the same calendar as everything else.

Is there a free plan?

Yes, up to 10 students, with sessions, calendar, applications, payments and invoicing. Premium is €49.99 a month with a 14-day free trial.

Where is student data stored?

In Google Cloud's europe-west1 region, with TLS 1.2 or higher in transit. Full detail on the security page.
