What EduCRM tracks
In short
Each payment is recorded against the student with its amount, currency, method, type, status and date. It can also hold the total owed and a due date for the balance, so a part-payment is tracked, not remembered.
Payments are marked pending, completed or refunded, and typed as a consultation fee, application package, hourly work or other. Payment methods are yours to define; cash, card and bank transfer are the defaults.
Partial payments
Most CRMs handle this badly. Record the total owed and a due date alongside the payment, and it shows as partial with a dated balance.
Invoices and receipts
Two document types with separate numbering, because tax authorities do not treat them as the same thing.
- Sequential numbering per workspace, with your own prefix. Global or per student, with a manual override.
- Language per document, not per account.
- Line items, discounts and a total, with the paid amount tracked against it.
- Draft, sent or paid status on every document.
- PDFs with a font that renders Greek correctly, stored so they can be re-sent.
- Emailed from the platform to the parent address on the student record.
Invoices and payments stay in step
Issuing an invoice can create the matching payment, and the two link both ways, so the invoice list and the payment list cannot disagree.
What you see without opening anything
The dashboard shows pending and recent payments live, alongside active students, today's sessions, follow-ups due and upcoming deadlines, plus a revenue chart.
What this is not
EduCRM is not accounting software and files nothing on your behalf. It does not calculate commission owed to you by universities or partners. Keep your bookkeeping; Premium data export gets the records out.
EduCRM's own billing runs through Stripe. Your student invoices are separate. Sub-processors are listed on the security page.

No. It tracks what you invoiced, what was paid and what is outstanding, and produces the documents. It does not do bookkeeping, tax filing or commission accounting. Data export is included on Premium.
