In short
Give every active student one dated next action, and never end a conversation without setting the next. A student with no next action is invisible, and invisible students go quiet.
Missed follow-ups are rarely a discipline problem. The reminder lives somewhere you do not look: a WhatsApp thread scrolled past, a note made in the car, an app you never open at work.
The one rule
Before you end a session, log the next action with a date. Not "follow up soon", but "call Elena's mother about the transcript, 14 September". A dated action is done or overdue, and overdue is a list you can work.

A twenty-minute weekly routine

Open the overdue list
Anything past its date. Do the two-minute ones now, re-date the rest with a reason.
- Step 02
Scan students with no next action
The important one. Any active student without a dated action is drifting. Give them one, even a check-in.
- Step 03
Look six weeks ahead at deadlines
Applications in preparation with a deadline inside six weeks. That is the month's real workload.
- Step 04
Look at unpaid invoices
Chase before the next session, not during it.
