In short
A student recruitment pipeline is the sequence enquiry → qualified → counselling → applying → offer → enrolled, with a written entry condition and one owner per stage. Its job is not forecasting, but making it obvious which students have stopped moving.
The six stages

Enquiry
Someone made contact. No judgement yet. Every enquiry enters here, whatever the channel.
- Step 02
Qualified
You know their year group, target countries and timeline, and it is work you do. Entry condition: a real conversation has happened.
- Step 03
Counselling
Sessions running, a shortlist forming. This can last months, and it is where most of the value is delivered.
- Step 04
Applying
At least one application in preparation or submitted. From here the detail lives on the applications.
- Step 05
Offer
At least one offer received. New obligations start: deposits, acceptance deadlines, accommodation, visa.
- Step 06
Enrolled
Placed. The number that tells you whether the year worked, and the moment to ask for a referral.
Where students leak
Two gaps account for most losses, and both are structural rather than motivational.
Enquiry to qualified
Enquiries arrive on four or five channels and get answered when someone notices. A message that sits three days is usually lost, because the family has already spoken to someone else. Two fixes: one place where everything lands, and a stated response time.

Counselling to applying
Quieter. A student in counselling with no booked session and no application started has effectively left, but nothing says so. The fix is a rule: three weeks in counselling without a booked session gets flagged.
Two numbers worth tracking
- Enquiry to qualified conversion. Whether your marketing attracts the right families.
- Time from enquiry to first application. The clearest early warning that counselling is congested.
Both beat a total enquiry count, which mostly measures how loud last month's marketing was.
